Dear Affiliate Member,
On February 03 this year, AAI’s Bylaws were amended to include three important changes:
1. There will be an Annual General Meeting (AGM) to which all AAI Affiliate Members may send a delegate.
2. Affiliates may nominate candidates for all open Board positions and all Board Members will be elected by a vote of Affiliate Members.
3. Six Board positions are now reserved for Regional Directors who will each represent, and work closely with, the Affiliate Members in their region. The regions are: Africa, Asia, Australasia, Europe, North America, and South/Central America.
This email sets out the timetable and process for the 2020 AGM and the election of Board Members.
ANNUAL GENERAL MEETING
In accordance with the AAI bylaws, the AAI 2020 Annual General Meeting will be held on Sunday May 31, 2020 at 15:00 UTC.
Proposing a Motion for Consideration at the AGM
An AAI Affiliate Member is entitled to put a motion to the AGM for consideration. You do not have to attend the AGM to submit a motion. Motions must be submitted to the AAI Secretary by April 05, 2020.
Attending the AGM
The AGM will be held using Google Hangouts, an on-line conference service. Attendees will be able to participate via the Internet using a web browser or the equivalent mobile application. To attend the AGM, you will need the meeting link that will be sent to you in advance.
Each Affiliate is entitled to have one delegate at the meeting. Note: Affiliates with overdue membership fees are not entitled to submit motions or attend the meeting. If necessary, please settle any outstanding fees before submitting a motion.
If you wish to attend, please notify the AAI Secretary of the name of your delegate in advance of the meeting.
Voting by Proxy
Affiliates will be sent a list of motions to be considered at the AGM in advance of the meeting. If you cannot attend the meeting, you may submit a proxy vote for any motion. Please submit your proxy votes at least 24 hours before the meeting to the AAI President, president@atheistalliance.org.
ELECTION OF BOARD MEMBERS
There are currently six open board positions: three At Large Directors and Regional Directors for Africa, Australasia, and South America.
Nominations
Paid-up Affiliate Members are entitled to nominate any number of candidates for the At Large positions and one candidate for a Regional position and that candidate must be for the Affiliate’s own region.
Please note, nominees for the AAI Board must satisfy the following criteria:
> Sufficient competence in reading and speaking English to be able to participate in Board discussions.
> Hold current Alliance membership.
> Have access to reliable internet connectivity.
> Be available to attend monthly Board meetings and any committees to which they are appointed,
> Have a record as an activist or organizer on behalf of nonbelief for at least two years, or otherwise possess skills deemed valuable to the organization.
The Board will carry out authentication checks to ensure nominees meet these criteria before including them on the ballot paper. Authenticated nominees will be invited to submit campaign materials which will be displayed on the AAI website.
Nominations for Board positions must be received by the AAI Secretary by March 08, 2020.
Voting
Ballots showing all available positions and candidates will be sent to paid-up Affiliate Members in good standing on May 24. Affiliates have one vote for each available position and may vote for all At-large positions but may only vote for the Regional position within their region.
The results of the election will be announced at the AGM.

We have given the time of the meeting as 15:00 hrs UTC (Universal Coordinated Time). This is 16:00 in London (BST), 18:00 in Athens (EEST) and 08:00 (PDT) in Vancouver. If your time zone is not shown, it is easy to find an online converter that will convert UTC to your local time on May 31, 2020.
